Attendant
The attendant is the focal point for call processing within the system. The system can have up to four attendants. In addition to the features of a standard keyset, the attendant also has the following unique capabilities (refer to the respective feature for details):
• Attendant Call Queuing (Intercom Queue Key) on page 38
• Incoming Intercom calls from co-workers queue for the attendant. The callers never hear busy tone.
• Barge In (Intrusion) on page 62
• The attendant can break into another extension user’s established call. This option is enabled in the attendant’s Class of Service (COS 1).
• Direct Line Access on page 189
• Direct Line Access lets the attendant user dial a code to access an individual line. This option is enabled in the attendant’s Class of Service (COS 1).
• Forced Line Disconnect on page 280
• In an emergency, the attendant can release (disconnect) another user’s active outside call. This option is enabled in the attendant’s Class of Service (COS 1).
• Line Queuing / Line Callback on page 349
• The attendant can Camp-On (queue) for a busy line. This option is enabled in the attendant’s Class of Service (COS 1).
• Night Service / Night Ring on page 399
• An attendant with a Night key can put the system in the night mode. This option is enabled in the attendant’s Class of Service (COS 1).
• Removing Lines and Extensions from Service on page 478
• The attendant can remove problem lines from service —then return them to service once the problem is corrected. This option is enabled because the attendant has Direct Line Access enabled in their Class of Service (COS 1)

Caller ID Logging
An extension can store the caller’s name and phone number for easy review and redialing.
• Caller ID Manual Callback Selection is available in software versions 3.01 or higher.
Description
When caller ID is enabled, Caller ID Logging stores a record of the caller’s number and name (if provided by the telco) for each outside call that rings an extension. This allows an extension user to easily review and redial their calls. The system can log records directly to an extension or to one of 8 Caller ID Logging Groups. All the extensions in the same Logging Group share the same Caller ID records. Each extension or Logging Group can store up to 99 Caller ID records. The system stores up to 1800 Caller ID records, allocated among all extensions and Caller ID Logging Groups. All Caller ID records are retained when the system is powered down or reset. If a line rings more than one extension simultaneously, the system logs the call at all ringing extensions.
Programmable Caller ID Callback Routing
You can set up Caller ID Callbacks (return calls) to select either a line or Line Group to redial calls allowed by the extension’s Toll Restriction. Caller ID Callback Routing can also optionally:
• Strip the area code from the number dialed.
• Strip the leading 1 from the number dialed.
• Add a leading 1 to the number dialed.
Soft Key Integration
Unique Caller ID soft keys provide the extension user with the capability to view all of their Caller ID records or just records for unanswered calls. Super Display telephone users can additionally view records of answered calls.
Save Number to Speed Dial
While reviewing a Caller ID record, the extension user can optionally store the number and optional name directly in an Extension Speed Dial number.
New Record for Calls on Hold and Parked Calls
The system creates a new Caller ID record for a call retrieved from Hold at an extension other than the one that initially placed it on Hold. The same is also true for Parked calls.
• A new call rings the system and creates a CID record.
• Extension 301 answers the call and places it on Hold.
• Extension 302 retrieves the call from Hold.
• The system creates another record of the call at extension 302.
New Record for Transferred Call
A transferred call creates a new call record each time it is transferred. For example:
• A new call rings the system and creates a CID record.
• Extension 300 answers the call and transfers it to extension 301.
• The system creates a new (answered) record for the call at extension 301.
• Extension 301 transfers the call to extension 302.

PRI Primary Rate Interface ISDN subscriber interface. PRI has 23 bearer B-channels at 64 Kbps per second and a D-channel at 64 Kbps per second. The bearer B-channels are provided for PCM voice, video conferencing, group 4 facsimile machines, and other similar types of transmissions. The data D-channel used to bring in information about incoming calls and take out information about outgoing calls. PRI can also be used to access slow-speed data networks such as videotex and packet switched networks. PRI has two standards: U Interface for 2-wire T Interface for 4-wire SLIP Serial Line Internet Protocol An Internet protocol is used to run IP over serial lines such as telephone circuits. IP is the Internet Protocol; the most important of all protocols on which the Internet is based. This protocol allows a packet to traverse multiple networks before it reaches its final destination. SMDR Station Message Detail Recording A feature that collects and records information on outgoing calls by station. SPID Service Profile Identifier IDSN service is ordered with certain parameters. The SPID is an 8- to 12-digit number that uniquely identifies the service ordered. The phone company assigns an SPID for every phone number. Each ISDN BRI line usually has two phone numbers. The SPID is a label identifier that points to a particular location on the telephone company central office memory that stores the details of the ISDN services ordered. This number is necessary for the operation of the ISDN phone, fax, or PC software. Without this number, ISDN services cannot be accessed. VoIP Voice over Internet Protocol The ability to carry normal telephone-style voice over an IP-based internet with POTS-like functionality, reliability, and voice quality. The Public Switched Telephone Network (PSTN) connects to the LAN IP network through a VoIP gateway. Digitized speech is transported through IP packets and can include real-time conversation or voice mail. The IP network can be public/private, and voice transport can be telephone-to-telephone, computer-to-telephone.

ACD Automatic Call Distribution Provides a cost-effective method for supervising incoming telephone traffic and associated staff activity. AIS Alarm Indication Signal Replaces the normal traffic signal when a maintenance alarm indication is activated. An AIS signal is transmitted downstream to indicate an upstream failure was detected. BNC Bayonet-Neill-Concelman Connector for slim coaxial cables. This is similar to ones used with Ethernet. BPV Bipolar Violation Indicates the presence of two consecutive one bits of the same polarity on a T carrier line. BRI Basic Rate Interface ISDN subscriber interface. BRI has two bearer B-channels at 64 Kbps per second and a D-channel at 16 Kbps per second. CRC Cyclic Redundancy Check CRC is a common method to establish that the data is correctly received in data communications. This process checks the integrity of a block of data. A CRC character is generated at the transmission end. Its value depends on the hexadecimal value of the number of ones in the data block. The transmitting device calculates the value and appends it to the data block. The receiving end makes a similar calculation and compares its results with the added character. If there is a difference, the recipient requests retransmission. DN Directory Number Unique number (phone number) assigned to each telephone or data terminal. ISDN Integrated Services Digital Network An international plan to migrate the public switched network to the universal implementation of standard digital technology. LSA Line Synchronization Alarm Detection A T1 trunk looses frame synchronization. Frame synchronization occurs when a given digital channel (time slot) at the receiving end is aligned with the corresponding channel (time slot) of the transmitting end as it occurs in the received signal. Usually extra bits (frame synchronization bits) are inserted at regular intervals to indicate the beginning of a frame and for use in frame synchronization. LCR Least Cost Routing A feature that automatically chooses the lowest cost phone line to the destination. OOF Out-of-Frame Condition During T1 transmission, an Out-of-Frame error occurs when two or more of four consecutive framing bits are in error. When this condition exists for more than 2.5 seconds a Red alarm is sent by the OOF detecting unit. Equipment that receives this Red alarm responds with a Yellow alarm. OPX Off-Premise Extension A telephone that is located in a different office or building from the mail phone system. The OPX is connected by a dedicated telephone line. IP Office system Components
The following are the typical components of an IP Office system based on an IP500v2 control unit.

The control unit holds the main configuration and performs the routing and switching for telephone calls and data traffic. Each control unit includes 4 slots for optional base cards to support trunk and phone extension ports.
· Avaya SD Card 42
This uniquely numbered dongle is used to validate license keys entered into the system's configuration to enable features. A dongle is mandatory for correct system operation even if no licensed features are being used. IP500v2 control units use an Avaya SD card which is slotted into the rear of the control unit. This card also provides embedded voicemail support and storage for system software files.

Various IP Office features and applications require a license key to be entered into the system's configuration. Each key is a 32- character text string unique to the feature being activated and the serial number of the Feature Key dongle installed in the system.

The IP500 control unit has an internal power supply unit. Each external expansion module is supplied with an external power supply unit. Additional power supply units may also be required for IP phones and some phone add-ons.

The IP Office is designed primarily for connection to a structured cabling system using CAT3 UTP cabling. This approach allows telephone and data traffic to share the same wiring infrastructure and simplifies equipment moves.

The control unit can be used free-standing, with external expansion modules stacked above it. With optional rack mounting kits, the control unit and external expansion modules can also be rack mounted. Where the installation includes extensions in other buildings additional protective equipment is required. This equipment may also be required in areas where the lightning risk is high.

The system can operate in either of two modes; PBX or Key. The selected mode affects the system's outgoing call routing
and incoming call routing settings. 20 22

Default Setting
The default setting for the system's Mode is determined by the type of SD card installed in the system.
· IP Office U-Law
A system fitted with this type of card will default to U-Law telephony and Key mode operation. Intended for North American locales. System's running in this mode are referred to as IP Office Basic Edition - Quick Mode systems.
· IP Office A-Law
A system fitted with this type of card will default to A-Law telephony and PBX mode operation. Intended for locales outside North America. System's running in this mode are referred to as IP Office Basic Edition - Quick Mode systems.
· IP Office Partner Mode
A system fitted with this type of card will default to U-Law telephony and Key mode operation. Supported only in North American locales. System's running in this mode are referred to as IP Office Basic Edition - PARTNER Mode systems.
· IP Office Norstar Mode
A system fitted with this type of card will default to A-Law telephony and Key mode operation. Supported only in Middle East and North African locales. System's running in this mode are referred to as IP Office Basic Edition - Norstar Mode systems.
Changing the System Mode

Changing this setting requires the system to be rebooted for the change to take effect. Rebooting the
system will end all calls currently in progress.
· In addition, any existing button programming is removed and all buttons are defaulted according to the requirements of the selected mode.
1.Click on System in the menu bar and then click on Switch.
2.Change the currently selected Mode to the required setting; PBX or Key.
· Key
The Number of Lines setting is used to automatically assign line appearance buttons on all extensions with programmable buttons. To make external calls the user should select an available line appearance button. Outbound call routing is determined by which line appearance button the user selects before dialing or by the user's automatic line selection settings.
· PBX
No line appearances are automatically assigned to programmable buttons. The Outside Line setting is used to set the dialing prefix that indicates that the call is an external one for which an available line

should be seized. The Alternate Route Selection settings are used to determine which lines are used
for each outgoing call. Line appearance buttons can also still be configured for making and answering

IPO digital Station
This card is used to add digital station (DS) extension ports to an IP500 and IP500v2 control unit. It provides 8 RJ45 DS extension ports for use with Avaya digital phones. A further 4 RJ45 ports are provided for trunk connections when an IP500 trunk card is fitted to this card.

IPO Analog Phone
This card is used to add analog phone ports to an IP500 and IP500v2 control unit. It is available in two variants, providing either 2 or 8 analog extension ports.

The C-4000 converts any four touch tone phones into multi-number auto dialers that will store up to 250 tele- phone numbers in non-volatile memory. Use with Viking’s K-1700-3 or K-1900-8 phones to provide vandal resistant handsfree or handset communication from entry points to apartments or offices.
When a call initiated by the C-4000 is answered by an apartment or business tenant, a built-in contact closure may be activated to control an electric gate or door strike.
Up to 250 entry codes may also be programmed provid- ing tenants with keyless entry or optional PROX-1 Card Readers may be added for Proxy card entry.

Remote Mailbox Access for IPO
Remote mailbox access is accessing a mailbox from any location does not match the mailbox user or hunt group's number. That includes both internal and external access.
· Remote access is only possible if the mailbox user or hunt group has a voicemail code set in the IP Office configuration.
There are a number of ways to enable remote mailbox access.
1.Direct from an Incoming Call Route
An incoming call route could be configured to enable remote access to a mailbox. The option Voicemail can be selected as the Destination and/or Night Service Destination of an Incoming Call Route.
2.Using a Short Code
A short code can be created that uses the Voicemail Collect feature but without a mailbox name specified in the Telephone Number field will trigger remote access. An example is shown below. This short code could be utilized by users on the system, as the destination in an Incoming Call Route or as the destination for a auto attendant option.

3.Via an Auto Attendant
An auto attendant can be used to enable remote access to a mailbox. A short code similar to the example could be entered as the Destination for one of the auto attendant Normal Transfer key options. User Announcements AVAYA IP Office
Announcements are played to callers waiting to be answered. This includes callers being presented to hunt group members, ie. ringing, and callers queued for presentation.
· IP Office 4.0+ supports announcements using Embedded Voicemail.
· If no voicemail channel is available for an announcement, the announcement is not played. · Calls can be answered during the announcement.
· If a call is rerouted to a hunt group's Night Service Group or Out of Service Fallback Group, the announcements of the new group are applied.
· If a call overflows, the announcements of the original group are still applied, not those of the overflow group.
· For announcements to be used effectively, the hunt group's Voicemail Answer Time must be extended or Voicemail On must be unselected.
Announcement Configuration 1.Open IP Office Manager.
2.Select the user or hunt group for which announcements are required. 3.View the Announcements tab.

· Announcements On: Default = Off.
This setting enables or disables announcements.
· Wait before 1st announcement: Default = 10 seconds. Range = 0 to 9999 seconds.
This setting sets the time delay from the calls presentation, after which the first announcement should be played to the caller. If Synchronize Calls is selected, the actual wait may differ, see below.
· Flag call as answered: Default = Off.
This setting is used by the IP Office CCC and CBC applications. By default they do not regarded a call as answered until it has been answered by a person. This setting allows calls to be marked as answered once the caller has heard the first announcement. This setting is not used by the IP Office Customer Call Reporter application.
· Post announcement tone: Default = Music on hold.
Following the first announcement, you can select whether the caller should hear Music on Hold, Ringing or Silence until answered or played another announcement.
· 2nd Announcement: Default = On.
If selected, a second announcement can be played to the caller if they have still not been answered.

Cat6 Cable is a phone and Ethernet computer cable consisting of 4 pairs intimately twisted together with either a PVC (riser) or Plenum rating. 

Cat6 Cable is the latest standard in indoor phone and computer networking cable.  It can be used in all cat3, cat5 and cat5e or enhanced applications.  It is rated up to 550 MHz making it ideal for Gigabit Ethernet connections. 

Cat6 Cable is widely used in newer building structures these days to plan for the future speed of computer and voice signals.  It can be run up to a maximum of 721 feet while still preserving its integrity.  It is worth mentioning that your performance of signal is limited to the lowest possible category cable in your system. In other words, if you have a Cat5 cable in your system, you will need to upgrade it to receive the full benefit of the faster cat6 cable.  One good part of upgrading to a Cat6 cable is you can use the standard RJ45 connectors to terminate your cable.

Another big benefit of Cat6 Cable is in its ability to limit electromagnetic noise and crosstalk of the signal.  The tightly twisted pairs and special bonding agent help insure the integrity of the signal with fewer data losses or interruptions.  A faster and more reliable signal can be critical to businesses that depend on the reliability of information technology to operate daily.

Voice and Data wiring

Cat5e is probably the most common networking cable. It is the standard for Ethernet, so almost anyone with a LAN network in their home or office will use Cat5e cables in some capacity.  The cable itself is typically an unshielded twisted-pair (UTP) cable type.  The cable jacket holds four twisted-pair copper wires and has RJ-45 connectors.
The Cat5e cable is an enhancement (hence the "e") of the original Category 5 cable. These enhancements include improved performance and support of far-end crosstalk. The unshielded Cat5e is now generally recommended over the original cat5.
Cat5e cables come in two different varieties: stranded and solid conductor.  At the most general level, stranded Cat5e cables are more durable and are generally used around the house or office. Solid-conductor Cat5e cables are more efficient but less durable and are generally used in installation work (within walls, ceilings, etc.). In general all Cat5e "patch cables" are stranded, while each solid conductor cable is clearly marked.
 
The Cat5e's terminating connector is technically an 8P8C modular connector--not an RJ-45 connector. However, the use of the term "RJ-45" is so widespread that insisting on the term "8P8C" would be pedantic at best. We adopt the standard usage of the term "RJ-45" for the connectors of Cat5e cables.

Auto Attendant Overview
The IP Office Small Office Edition, IP406 V2 and IP500 control units support embedded voicemail. This is setup by adding an Avaya embedded voicemail memory card to the control unit and then selecting Embedded Voicemail as the Voicemail Type on the System | Voicemail tab. For full details refer to the Embedded Voicemail Installation Manual.
The IP406 V2 and IP500 support up to 4 simultaneous calls to embedded voicemail services. The Small Office Edition supports up to 10 simultaneous calls to embedded voicemail depending on available voice compression channels. A call from an IP device to voicemail uses two voice compression channels on the Small Office Edition.
• For pre-IP Office 4.1 systems up to 4 auto-attendant services are supported.
• For IP Office 4.1 and higher systems up to 40 auto-attendant services are supported. Due to this increase in the number of possible auto attendant, the method of automatic short code creation for recording prompts has been amended.
In addition to basic mailbox functionality, embedded voicemail can also provide auto-attendant operation. Each auto attendant can use existing time profiles to select the greeting given to callers and then provide follow on actions relating to the key presses 0 to 9, * and #.
• Time Profiles
Each auto attendant can use up to three existing time profiles, on each for Morning, Afternoon and Evening. These are used to decide which greeting is played to callers. They do not change the actions selectable by callers within the auto attendant. If the time profiles overlap or create gaps, then the order of precedence used is morning, afternoon, evening.
• Greetings
Four different greetings are used for each auto attendant. One for each time profile period. This is then always followed by the greeting for the auto-attendant actions. By default a number of system short codes are automatically created to allow the recording of these greetings from an IP Office extension. See below.
• Actions
Separate actions can be defined for the DTMF keys 0 to 9, * and #. Actions include transfer to a specified destination, transfer to another auto-attendant transfer to a user extension specified by the caller (dial by number) and replaying the greetings.
• IP Office 4.0+ supports a Fax action. This can be used to reroute fax calls when fax tone is detected by the auto-attendant.
• Short Codes
Adding an auto attendant automatically adds a number of system short codes. These use the Auto Attend short code feature. These short codes are used to provide dialing access to record the auto attendant greetings.
• For pre-IP Office 4.1 system, 4 short codes are added for each auto attendant. These use the form AA:Name.1 where Name is the Auto Attendant name.
• For IP Office 4.1+ these take the form short code *81XX with the number "AA:.1" where N is the replaced with the auto attendant number when dialing. Four such short codes (*81XX, *82XX, *83XX and *84XX) are added, one each for the morning, afternoon, evening and menu options greetings.
• Routing Calls to the Auto Attendant
The telephone number format AA:Name can be used to route callers to an auto attendant. It can be used in the destination field of incoming call routes and telephone number field of short codes set to the Auto Attend feature.

After logging into the IP Office Manager, double-click the System configuration tree item and select the LAN1 tab as shown below.
• Enter IP address 44.1.1.1 in IP Address field.
• Enter 255.255.255.0 in IP Mask field.
• Click Disabled to disable the IP Office as a DHCP Server.
Click the System tab and ensure that the Licence Server IP Address is set to the PC’s IP address 44.1.1.144.
• Enter the IP address 44.1.1.144 as File Writer IP Address.

Description
All iPECS Phones have a built in speaker. If allowed, users may employ the speaker to monitor a call while using the handset to converse with the outside party. This enables a group of people in the room to listen to both parties in the conversation.

Description
An iPECS Phone can receive audio, generally music, from an internal or external source while it is idle. Music from the source is received over the speaker and will be shut-off during ringing, pages, or while the station is off-hook.
